How we look after your personal information. The short version: we only use your details to deal with your enquiry, and we never sell or share them.

The Marian Hall is a community hall at 38 New Row, Kilrea, Coleraine BT51 5TA, run by volunteers on behalf of the local community. The hall is run by Kilrea Community Hub Limited (company number NI741171). For the purposes of UK data protection law (the UK General Data Protection Regulation and the Data Protection Act 2018), Kilrea Community Hub Limited is the data controller for personal information collected through this website.
When you send us a booking enquiry through this website, we collect the details you provide: your name, phone number, email address, organisation (if given), and the information you tell us about your event. We use this information for one purpose only: to respond to your enquiry and, if you go ahead, to arrange and administer your booking.
Our lawful basis for this is that the processing is necessary to take steps at your request before entering into a contract (the hire of the hall), and our legitimate interest in running the hall's bookings.
If your booking goes ahead, we may keep your contact and booking details for the purposes of administering the hire, insurance and legal compliance.
When we invoice you for the hire of the hall, we keep the name, contact person, email address, phone number and postal address you give us, what was hired and when, the amounts invoiced and the payments received. We use this to send you the invoice and any reminders or receipts, and to keep the hall's accounts. Our lawful basis is that this is necessary for the contract of hire, and for the legal obligation to keep financial records.
Each invoice has its own private web link so you can view it and pay online. The link uses a long random code rather than your name or the invoice number, and the page is not listed by search engines.
If you choose to pay by card, your card details go directly to our payment provider, Stripe, and never reach us or this website. We receive only confirmation of the payment, the amount, and any fee Stripe charges.
Like most websites, some parts of this site are provided by third parties, which may process technical information such as your IP address when the page loads:
Enquiries that do not lead to a booking are deleted within 12 months. Booking records are kept for as long as required for insurance, accounting and legal purposes, and then deleted. Invoices and payment records are financial records, so they are kept for six years after the end of the financial year they relate to, as the law requires, and then deleted.
Under UK data protection law you have the right to ask us for a copy of the personal information we hold about you, to have it corrected, to have it deleted, and to object to or restrict how we use it. To exercise any of these rights, email us at info@marianhallkilrea.com, contact us through our Facebook page, or speak to any member of the hall committee.
If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
